Our Translation and Localization Workflow

At Linguanesian, each project from the moment of acceptance to the point of delivery is supervised by a dedicated project manager who is responsible for project performance planning, the selection of the most suitable subject matter expert for its completion, meeting agreed deadlines and also managing our top quality assurance. All translations that are carried out by Linguanesian go through a specific life-cycle, which can also be tailored to the needs of our clients. Our perfect project delivery workflow consists of six stages.

1. First Stage (Project Review and Preparation)

  • Client submits documents and instructions.
  • Our Project Manager (PM) analyzes the content of document(s) and ensures that the requirements and instructions are clear. Whenever possible, the entire text to be translated or localized and any relevant reference materials, legacy or previous translations (translation memories) and glossaries (if applicable) should be provided by client. This will prevent misunderstandings and ensure the accuracy of the quote and delivery deadline.
  • Quote preparation. When requesting a quote, client must indicate the currency (preferred in USD) in which they would like the quote to be expressed.
  • Project confirmation. Prior to starting a project, the quote must be confirmed in writing. At this stage, we will also request your full contact details and acceptance of all terms stated in the emails.

2. Second Stage (Glossary Creation and Assignment)

  • Working with the client, the Project Manager identifies all terms that should remain in the source language and create a specific glossary that our translator, editor and proofreader can refer to when working with your materials. At this time, we will also create a template if the source file needs to be cleaned up or recreated as it is in a non-editable format or other reasons for the translation phase. That way, we can easily process your formatted documents through our preferred translation memory software program, SDL Trados CAT tool.
  • If we are not able to create a glossary upfront due to time constraints, we will compile one after the completion of the project. By doing so, client will have an established list of approved terms to ensure the consistency in subsequent projects. We take this into consideration because glossary is the key to ensuring the highest levels of quality and consistency and is an ongoing process that we continually update as the volume and unique nature of the work we perform evolves over time.
  • The project manager selects the most experienced and appropriately qualified translator (someone who has an in-depth knowledge of the subject matter) and assigns the project to the selected translator. The project manager also simultaneously reserves editing and QA resources.

3. Third Stage (Translation + Internal QA 1)

  • At this stage, the Project Manager provides the translator with the detail of the project including the requirements, instructions, reference materials, translation memory and glossary (if applicable).
  • The translator starts working on the translation while keeping the project manager updated on the progress and informed on any issues encountered during the translation process.
  • After completion of the translation, the translator returns or submits it to the project manager in the previously requested format. Linguanesian only utilizes translators who are skilled in their specialized and native language.

Note: For translation service only (Basic Service), after delivery of the fully translated document, the project manager, working with our trusted linguist, will conduct internal QA 1.

4. Fourth Stage (Editing & Review + Internal QA 2)

  • The fully translated document is then forwarded to the second linguist, equally qualified and professional editor, who will conduct a rigorous check that involves comparing source and target text and aims to correct all errors, specifically targeting grammar, typography, word choice, completeness, accuracy, etc. In addition, the editor may also make stylistic adjustments to the translated text so that it sounds more readable and natural.
  • The editor then submits the fully edited translation document to the project manager which is then forwarded to the original translator. The original translator will use his/her discretion to accept or reject the suggested changes. Regardless of how qualified the translator is, this step must be taken to ensure the highest level of quality.

Note: For editing service only (Standard Service), after completion of the editing, the project manager, working with our trusted linguist, will conduct internal QA 2.

5. Fifth Stage (Proofreading & Automatic QA)

  • Prior to being submitted to our selected proofreader, the fully edited translation document submitted by the original translator will go through DTP phase that will be precisely formatted to match the original material.
  • The project manager carries out an Automatic QA using Xbench or any other QA tools and delivers it to the proofreader.
  • The proofreader then conducts a thorough proofread that involves only checking the target text and checking for such issues as spelling errors, punctuation errors, typo errors, formatting issues, etc., but no editorial changes are made, nor are grammar errors which are highly unlikely to happen at this stage. In addition, should the proofreader find any missing parts in the translation, he/she must bring these points to the project manager’s notice to be informed whether corrections must be made or not.

6. Sixth Stage (Final Check & Finalization)

  • The project manager then gathers the final deliverables and carries out a final check with our most reliable linguist who is highly qualified and resourceful to ensure the highest quality output and that it meets client’s requirements and specifications, aside from being in accordance with the instructions and in the correct format.
  • The project manager and the aforementioned linguist also make sure that the layout, page numbers, proper names and other details match your source document one last time and finalize the translation to ensure the highest degree of quality and client satisfaction.
  • An electronic copy of the completed spot-on translation is sent to the client.
